Shorten X operation time: Posting workflow that can be completed in 30 minutes a week

Most of the reasons why I feel like I'm spending too much time on X operations is because I'm creating it from scratch every time.

In this article, we will design a workflow to run X operations in 30 minutes a week.

Why X operation takes time

There are common patterns in operations that take time.

  • Think of a topic on the day of posting
  • Writing sentences from scratch
  • Repeat checking and editing for each post
  • Don't think about what's next after posting

If you do all of this on an "as-you-go" basis, you'll lose hours a week.

30 minutes a week workflow design

Step 1: 10 minutes on Monday — Decide on the week's story

I'll look at last week's posts that got a good response and decide on five themes for this week.

Things to check:

  • Theme of the post with the most likes/RTs
  • Common features of posts with replies

In these 10 minutes, you will decide on the themes for 5 posts for the week.

Step 2: 15 minutes on Wednesday — write 5 books at once

Create 5 posts at once, with each post lasting 3 minutes.

Time-saving tips:

  • Write with 80 points without aiming for perfection
  • Decide on the format (bullet list, step-by-step, etc.) first
  • Reuse the same wording in your CTA every time

Step 3: Wednesday 5 minutes — Book in bulk

I will reserve the 5 books I wrote for posting slots from Monday to Friday.

There will be zero work to do on the day, so you won't have to worry about posting in the morning.

3 ways to further reduce time

Tip 1: Have a post template

Create templates for frequently used post structures.

[Lines 2-4: Bullet the solution]
[Last line: Summary or CTA]

Just by applying the template, you can reduce the time you spend thinking about sentences by one-third.

Tip 2: Always replenish your notebook

During the week's preparation time, I write down not only this week's material but also the material for next week and beyond.

If you have 20 to 30 books in your notebook, you will have zero time to search for topics.

Tip 3: Regularly reuse past popular posts

Repost a post that received a good response from more than 30 days ago, rephrasing it.

Cycle of reuse:

  • 7 days later: Same theme from a different angle
  • After 30 days: Change the format (bullet points → steps)
  • After 90 days: Add new cases and figures

The overall production time is shortened because the number of new productions is reduced.

How to use the free space created by time savings

If you can compress it into 30 minutes a week, you can use the free time for the following:

  • Checking the numbers (10 minutes a week): Record patterns of posts that have increased and posts that have declined
  • Gathering material (10 minutes a week): Note down questions and industry information from readers
  • Improvement (30 minutes once a month): Review templates and posting patterns

This accumulation will continuously improve the quality of operations.
